How to Keep a Maintenance Record for Your Vehicle

A simple, consistent maintenance record pays off at resale, during warranty claims, and for your own peace of mind. Here is what is worth tracking.

Why bother keeping records

A maintenance record is one of the simplest things you can do for a vehicle that pays off in more than one way:

  • Resale value. A documented service history is one of the most concrete things you can show a buyer or trade-in appraiser — it's evidence, not just a claim, that the vehicle was cared for.
  • Warranty protection. If you ever need to make a warranty claim, a manufacturer can ask for proof that required maintenance was performed on schedule. No record makes that harder to demonstrate. The proof doesn't have to come from a dealer — invoices from an independent shop count, and if you do the work yourself, keep the receipts for the oil and parts along with a note of the date and mileage.
  • Catching patterns. A record makes it easier to notice if something is being serviced unusually often, which can be an early signal worth asking a technician about.
  • Simple peace of mind. Knowing when something was last done — and not having to guess or rely on memory — is useful on its own.

What's worth recording

For each service, the most useful details are usually:

  • Date and mileage at the time of service
  • What was done — be specific (e.g. "oil and filter change" rather than just "service")
  • Who did it — a specific shop, dealer, or yourself
  • Cost, if you want to track spending over time
  • Any related documents — an invoice or receipt, which is useful to have on hand if a warranty question ever comes up

Keeping it consistent

The format matters less than the consistency — a notebook in the glovebox works, as does a spreadsheet or an app. What matters is recording each service close to when it happens, since details (exact mileage, what was actually done) get harder to reconstruct accurately later.

Our My Garage lets you log maintenance against a specific vehicle, attach a document if you have one, and see reminders based on when you're next due — so the record and the reminder live in the same place.
